Privacy Policy

How GolfDock handles information across the app, website, course dashboard, admin portal, payments, and support.

Plain-English version

We collect the information needed to run GolfDock: accounts, rounds, leagues, course tools, support, payments, security, and product quality. We do not sell personal data, and we do not share personal data for targeted advertising.

1. What this policy covers

This policy covers GolfDock's mobile app, website, course-owner checkout, admin portal, course dashboard, onboarding, billing, support, and related communications. It applies whether you use GolfDock as a golfer, guest, league participant, course owner, course admin, league admin, or website visitor.

2. Information we collect

  • Account and profile details, like your name, email, username, profile photo, home course, handicap range, role, and account settings.
  • Golf activity, like rounds, scores, stats, leagues, events, friends, chats, bag setup, club distances, shot data, scorecard shares, and course requests.
  • Location data when you allow it, mainly to show GPS distances, map your round, support shot tracking, and improve course data. GolfDock is built for on-course use; we do not need your location when you are not using the app for a round or related feature.
  • Course and business account details, like course name, staff/admin contacts, plan selection, billing term, setup tier, reports, exports, invites, audit logs, and support history.
  • Payment and subscription records, such as plan, renewal status, transaction identifiers, invoices, failed-payment events, and entitlement status. Full card numbers are handled by payment processors, not stored by GolfDock.
  • Technical information, like IP address, device/browser type, app version, crash/error logs, server logs, analytics events, and security-related activity.

3. How we use information

  • Run the app, website, admin portal, course dashboards, leagues, events, scoring, reports, support, billing, and account security features.
  • Show your own rounds, stats, bag, AI Caddy context, course data, friends, league activity, and messages.
  • Let course owners, league organizers, admins, and participants see the information they reasonably need for leagues, events, scoring, pairings, reports, and support.
  • Process subscriptions, invoices, refunds, failed-payment recovery, trial access, plan changes, and entitlement updates.
  • Troubleshoot bugs, protect accounts, investigate misuse, enforce our terms, prevent fraud, and keep reliable business and financial records.
  • Improve GolfDock, including course coverage, product quality, support, and future features, using data in a way that is reasonable for the service.

4. How information is shared

We share information only when it is needed to provide GolfDock, process payments, support users and course accounts, protect the platform, or comply with law.

  • Payment processors and app stores, such as Stripe, Apple, and Google, for payments, subscriptions, refunds, tax, and billing operations.
  • Infrastructure, hosting, database, analytics, email, maps, weather, crash reporting, and security providers that help us operate GolfDock.
  • Course owners, league organizers, league admins, event admins, scorekeepers, and other participants when your activity is part of a course, league, event, chat, round, or shared scorecard.
  • Professional advisors, auditors, insurers, banks, payment networks, law enforcement, regulators, or courts when reasonably necessary.
  • A successor organization if GolfDock is involved in a merger, acquisition, financing, restructuring, or sale of all or part of the business.

5. Payments

Website course subscriptions and setup fees are processed through Stripe. Mobile app subscriptions are handled through the applicable app store, such as Apple or Google. GolfDock does not store full payment card numbers. Payment providers may process payment, tax, refund, and fraud-prevention information under their own terms and privacy notices.

6. Location, rounds, and course data

GolfDock uses location only when you allow it and use location-based features, such as GPS distances, round maps, shot tracking, course lookup, and course-data improvement. Round, score, league, event, chat, and course information may be visible to the people who need it for that feature, such as your playing partners, friends, league admins, course admins, scorekeepers, or support staff.

7. Retention

We keep information for as long as needed to provide GolfDock, maintain account and billing history, support users, comply with legal or tax obligations, resolve disputes, enforce agreements, and protect the platform. Backup, security, audit, and transaction records may be kept longer when reasonably required.

8. Security

We use reasonable administrative, technical, and organizational safeguards designed to protect personal data. No app, website, database, or network can be guaranteed perfectly secure, so please use a strong password, keep your account details private, and contact us if you believe your account has been compromised.

9. Your choices and privacy rights

  • You can ask to access, correct, delete, or receive a copy of certain personal data we have about you, subject to legal limits and reasonable verification.
  • Colorado residents may also have rights to opt out of the sale of personal data, targeted advertising, and certain profiling. GolfDock does not currently sell personal data or share it for targeted advertising.
  • If we deny a privacy request, you may appeal by replying to our denial email or emailing us with “Privacy Appeal” in the subject line. Where Colorado law applies, we will respond within the time required by law.

Some privacy laws apply only after a company reaches certain thresholds or engages in certain data uses. Even when a specific law does not require it, we will do our best to respond to reasonable privacy requests.

10. Cookies, analytics, and opt-out signals

We may use cookies, similar technologies, and analytics tools to run the site, understand traffic, secure accounts, and improve GolfDock. We do not currently use this website to sell personal data or share it for targeted advertising. If our practices change, we will update this policy and provide any required opt-out choices, including honoring legally recognized universal opt-out signals where required.

11. Children and junior golfers

GolfDock is not directed to children under 13, and we do not knowingly collect personal information from children under 13 without appropriate consent. If you believe a child under 13 has provided personal information to GolfDock, contact us and we will review the account. Junior golfers may use GolfDock only with appropriate parent, guardian, course, or league permission where required.

12. Changes to this policy

We may update this policy as GolfDock grows, laws change, or we add features. If the changes are material, we will update the date on this page and take any additional steps required by law.
